Managing SmartVoice Greetings & Announcements

Learn how to manage audio files for voicemail, auto attendant and music on hold SmartVoice services. This can all be done in the SmartVoice online portal.

Key Points

The Announcements Repository is a tool in the SmartVoice online portal where you can upload and record new audio files and access all previous saved greetings to edit or delete. Saved audio files will be available to SmartVoice services such as music on hold, auto attendants and voicemail greetings.

  • Playback: Currently, there is no option to listen to the recording once it has been uploaded. If in doubt, set up the greeting (outlined below), then call in to verify what the recording says.
  • File Names: Maximum 30 characters.
  • Voicemail greetings: Max message length is 3 minutes
  • Music on hold: Max message length is 15 MB in size and 10 minutes in length. Audio will repeat if caller stays on hold longer than the file length.

Step 1

Individual Users
Upload voicemail greetings for your own individual line.

  1. Select Profile/911 Update.
  2. Select Announcements.

Group Admin
The group admin of your organization can upload audio files for group services such as auto attendant and music on hold.

  1. Select Group Profile

Step 2

The Announcement Repository tool will show current list and add option.

  1. Select Add

    • Only use 'Add' button at top (upload option at bottom does not function).
      Click Add

  2. Add a unique name for your audio file

    • helps easily identify the file you are uploading for future reference.
  3. Choose File and select Upload.

  4. Navigate to the folder on your computer where your recording is saved and Open.

  5. Select Save to complete.

  6. Verify new greeting is visible in the repository list.

You can still call in to * 98 to record greetings, following info outlined on How to access and manage voicemail for Shaw Business SmartVoice.
Recording greetings by phone are accessible in the Announcement Repository tool and are listed with a generic name. The files can be renamed through the tool to help identify multiple greetings.

  3. When prompted, allow the SmartVoice app access to your recording device

  4. Press the playback button to listen to your recording.
