Your group administrator can customize your desk phone by programming the soft keys for Shared Call Lines, Busy Lamp Field, speed dialling and more. This can be done through the Advantage Voice (formerly SmartVoice) portal by interacting with a visual representation of your phone.
Program a shared call or virtual line
Set up a Virtual Line or Shared Call Appearance Line (SCA) to connect another user's phone line to your desk phone, making it work like your own. This allows you to transfer calls directly to that extension or answer calls to that line. Follow these steps:
- Go to voiceportal.shawbusiness.ca.
- Sign in with your group administrator credentials.
- Select Device and find the user you're updating in the drop-down menu, then select OK. Once chosen, the user will appear as a selected person.
- Select Manage when prompted.
- Customize a button by selecting it in the Virtual Device Manager.
- From the Action menu, choose Shared Call Appearance, then select OK.
- Select Users from the dropdown menu.
- Pick the line you want from the list.
- Select Save, then Save in the Virtual Device Manager window.
Your desk phone will restart and reconnect in 5 minutes.
If the line you want isn't on the Users list, it means the owner hasn't turned on the Shared Call Appearance feature.
Program the Busy Lamp Field buttons
Set up Busy Lamp Field (BLF) to monitor the status of other lines within your business from your desk phone by following these steps:
- Go to voiceportal.shawbusiness.ca.
- Sign in with your group administrator credentials.
- Select Device and find the user you're updating in the drop-down menu, then select OK. Once chosen, the user will appear as a selected person.
- Select Manage when prompted.
- Customize a button by selecting it in the Virtual Device Manager.
- From the Actions menu, choose Busy Lamp Field, then select OK.
- Select Users from the dropdown menu.
- Pick the line you want from the list.
- Select Save, then Save in the Virtual Device Manager window.
Your desk phone will restart and reconnect in 5 minutes.
The Busy Lamp Field key turns green when the line is in use and flashes red for incoming calls. You can answer and transfer these calls.
If requested, a tone can signal when the monitored line receives a call while you're on another call.
Program the speed dial buttons
Set up speed dial buttons to make and transfer calls with just one button press by following these steps:
- Go to voiceportal.shawbusiness.ca.
- Sign in using your group administrator credentials.
- Select Device and find the user you're updating in the drop-down menu, then select OK. Once chosen, the user will appear as a selected person.
- Select Manage when prompted.
- Customize a button by selecting it in the Virtual Device Manager.
- From the Action menu, select Add Speed Dial, then select OK.
- For internal numbers, enter the extension. For external numbers, enter the full phone number, with the area code, without spaces or dashes. For long-distance numbers, add country codes (e.g. 1 for North American numbers).
- Select Save, then Save in the Virtual Device Manager window.
Your desk phone will restart and reconnect in 5 minutes, displaying your new custom speed dial numbers.
Program the function keys
Some of your desk phone buttons are pre-programmed with popular function keys. Reassign buttons on your desk phone by following these steps:
- Go to voiceportal.shawbusiness.ca.
- Sign in using your group administrator credentials.
- Select Device and find the user you're updating in the drop-down menu, then select OK. Once chosen, the user will appear as a selected person.
- Select Manage when prompted.
- Customize a button by selecting it in the Virtual Device Manager.
- From the Action menu, select the function, then select OK.
- Repeat these steps to assign more functions to keys.
- Select Save, then Save in the Virtual Device Manager window.
Your desk phone will restart and reconnect in 5 minutes.
