How To: Program buttons on the Advantage Voice desk phone

Overview

You can customize your desk phone by programming the soft keys for Shared Call Lines, Busy Lamp Field, speed dialing, and functions. This is done by interacting with an image of your desk phone on the Advantage Voice (formerly SmartVoice) web portal.

Program a shared call or virtual line

You can add the phone line of another user (within your business) to your desk phone, and have it function as if it were your own. This is called a Virtual Line or (SCA) Shared call Appearance Line. Doing this allows you to transfer incoming calls directly to that extension, or answer incoming calls to that line.

  1. Go to smartvoice.shawbusiness.ca.
  2. Log in using your group administrator credentials.
  3. Navigate to the extension you’d like to update and click on the phone image under Status.
  4. Click Device Manager under the larger image of the the phone.
  5. Allow browser pop-ups, if prompted.
  6. On the device image, click an empty key and then select Click to Setup.
  7. Select Line from the What type of key? dropdown menu.
  8. Select the line you want to add from the list of available lines.
  9. Select a Ringer type from the dropdown menu (eg. silent, normal, or a ringtone).
  10. Click Apply.
  11. Click Save All.

Your desk phone will reboot and come back online within 5 minutes.

If the line you want to add doesn’t appear on the list in Step 7, the owner does not have the Shared Call Appearance feature enabled. That setting can be found on the Calling Features tab.

Program the Busy Lamp Field buttons

Using the Busy Lamp Field (BLF) allows you to monitor the status of other lines within your business, from your desk phone.

  1. Go to smartvoice.shawbusiness.ca.
  2. Log in using your group administrator credentials.
  3. Click the Device Manager tab.
  4. Allow browser pop-ups, if prompted.
  5. On the device image, click an empty key and then select Click to Setup.
  6. Select Busy Lamp Field from the What type of key? dropdown menu.
  7. Click Search to load the available lines.
  8. Select the lines you want to monitor.
  9. Click Apply.
  10. Click Save All.

When the monitored line is in use, the BLF key will be green. Incoming calls to a monitored line will make your BLF key flash red. Incoming calls can be answered and transferred.

By special request, you can have a tone sound on the line when a monitored line receives a call, while you’re on a call.

Program the speed dial buttons

If you program desk phone buttons to speed dial, you can make and transfer calls with one button press.

  1. Go to smartvoice.shawbusiness.ca.
  2. Log in using your group administrator credentials.
  3. Click the Device Manager tab.
  4. Allow browser pop-ups, if prompted.
  5. On the device image, click an empty key and then select Click to Setup.
  6. Select Speed Dial from the What type of key? dropdown menu.
  7. Under Speed Dial, enter a label and a phone number.
  8. For internal numbers, add the extension. For external numbers, add the full phone number, including the area code, without spaces or dashes. Prefix long distance numbers with country codes (eg. “1” for North American numbers).
  9. Click Apply.
  10. Click Save All.

Your desk phone will reboot and come back online within five minutes, with your new custom speed dial numbers displayed.

Program the function keys

Some of your desk phone buttons are pre-programmed with popular function keys. You can reassign buttons in the web portal’s Device Manager tab by positioning your mouse over a button and selecting an item from the drop-down menu.

  1. Go to smartvoice.shawbusiness.ca.
  2. Log in using your group administrator credentials.
  3. Click the Device Manager tab.
  4. Allow browser pop-ups, if prompted.
  5. On the device image, click an empty key and then select Click to Setup.
  6. Select Function from the What type of key? dropdown menu.
  7. Choose a function from the Function dropdown menu, to load its description.
  8. Click Apply to assign that function to the empty key.
  9. Repeat steps 5-8, to assign more functions to keys.
  10. Click Save All.

Your desk phone will reboot and come back online within 5 minutes.
